Viewing a form’s submissions

Submission data for all forms can be found under Ninja Forms > Submissions in your WordPress admin.

Note: to ensure the privacy and security of submitted data, only users with the Administrator role can view and edit submission data by default in Ninja Forms. If you want to extend access to other roles, User Access features can be enabled and configured.

On the Submission page, use the Select a Form dropdown to choose the form you want to view submissions for.

Alternatively, you can start typing the name of your form into the Filter Forms field to bring up your form directly.

Filtering and searching submissions

1. Filter by date or search term

  • Select Dates: enter a date or date range here, then hit Filter Submissions. Only submissions from that date or range will be displayed.
  • Enter Search Term: enter a specific search term here. All submissions containing that term will be displayed.

2. Display Columns Controls: when toggled on, you can choose to display or hide specific columns (fields) in the submissions list for this form.

3. Use the page controls to move from page to page, and control how many submissions display per page.

Editing Submissions

To edit a submission, hover over it with your mouse and click the Edit option that appears on hover.

In the modal that opens, you will see the values for each field. These can be edited as needed. Just click the update button to save your edit.

Exporting Submissions

By default, all submission will export as a csv document. Extended features are available for exporting to Excel, Google Sheets, and PDFs.

1. To export a single submission only, hover over that submission and click the Export option that appears.

2. To export select submissions, check the box next to the submissions you want to export. Then select Export from the Bulk Actions dropdown.

3. To export all submissions of this form, just click Download All Submissions.

Deleting Submissions

1. To delete a single submission only, hover over that submission and click the Trash option that appears.

2. To delete select submissions, check the box next to the submissions you want to delete. Then select Trash from the Bulk Actions dropdown.

Resend email from select submissions

For submissions of a form containing an email action, you can retrigger that email action from the submission. This effectively allows you to resend email directly from the submission(s). To do so, select the submission(s) you want to resend email from, then select Trigger Email Action from the Bulk Actions dropdown.

If the form has only one email action, a confirmation window will appear. Confirm and the email will be resent.

If the form has multiple email actions, a window will appear for you to select which action you want to refire. Select the action, confirm, and the email will be resent.

Bulk export multiple forms’ submissions

This tool will allow you to select multiple forms’ submissions, select a date range, and export all submissions of select forms within that date range.

1. Click the Bulk Form Exports button to open the bulk export options.

2. Select the forms for which you want to export submissions.

3. Select the date range for the submissions you want to export.

An export button will now appear.
